Description

Under the direct supervision of the President, the Administration Manager’s role encompasses general office management, facilities maintenance and management, asset inventory and monitoring, safety & security supervision, information & communication technology coordination, general repairs & maintenance, motor pool & service vehicle maintenance, and policy development; supporting the accomplishment of the company and departmental goals and objectives

Key Areas of Responsibility

  • Company Asset Management

    • Acquisition, Maintenance and Disposal of:
  • Company owned/leased office and warehouse
  • Company owned/leased vehicles
  • Office furniture
  • Office equipment i.e. desktop, laptop, printer, mobile phone
  • Domain name

    • Facilities Planning
    • Insurance
    • Security
  • Reception of visitors at the office/warehouse
  • CCTV

    • Repairs & Maintenance
    • Allocation of assets to employees
  • Company Phone
  • Laptop and Desktop
  • User account of employees i.e. Google account
  • Corporate Housekeeping

    • Municipal Permit
    • LTO Registration
  • Office Administration and Management

    • Rent
    • Utilities management
    • Internet and communication
    • Office supplies
    • Messengerial services / Courier
    • Gas
  • Business Travel Management for Official Business Trips i.e. meetings, corporate events, seminars/trainings, exhibitions/trade fairs, leisure

    • Transportation for OB trips
    • Booking of flight and accommodation for domestic and international travel
  • Administration Fund Management

    • Disbursement of authorized expenses from Admin Fund
    • Replenishment
  • Administration Expense Management

    • Rent
    • Utilities (i.e. Water and Electricity)
    • Domain Hosting (i.e. GoDaddy)
    • Communication (i.e. Google Workspace, PLDT, Smart)
    • Transportation & Gasoline (i.e. Petron Fleet Card)
    • Courier (i.e. Lalamove)
    • OB Trip expenses
  • Policy Creation and Development

    • Create and enforce admin related policies
    • Update current policies and procedures
Qualifications
  • Applicants must be a PERMANENT RESIDENT in the Philippines
  • Business Course, Office Management and Engineering or related discipline, or equivalent combination of education and experience
  • Minimum of 5 years experience in the field of Administrative Management
  • Familiarity with financial and facilities management
  • In- depth understanding of renewal of Business Permits & Certification
  • Excellent Organization Skills
  • Excellent Oral/Written & Communication skills
