Executive Assistant
Description
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
- Maintaining comprehensive and accurate records
- Performing minor accounting duties
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
- Answering phone calls in a polite and professional manner
- Managing the executive’s calendar, including making appointments and prioritizing the most
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives
- Accurately recording minutes from meetings
- Making travel arrangements for executives
- Performing office duties that include ordering supplies and managing a records database.
- Handling business development tasks whenever needed
- Complete projects that are assigned
- Monitor and liaise with the Group’s international operations
- Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
- Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
- Organize team communications and plan events, both internally and offsite sensitive matters
- Filing and retrieving corporate records, documents, and reports
Qualifications
- Bachelor’s Degree holder At least 5-7 yrs experience in same capacity
- Willing to travel and work extended hours when needed
- Strong time management skills and able to organize and handle multiple projects at the same time
- Strong written and verbal skills
- Can present oneself properly and represent company’s executives to both local and foreign clients
- Flexible and a team player that is willing to do what it takes to get the job done
- Able to keep company’s confidence
